Delete your PBSTrack account
If you can sign in to PBSTrack, this is the fastest and most reliable path. The in-app flow verifies your identity, shows you exactly what will be removed, and gives you a 14-day window to change your mind.
- Open PBSTrack on your Android device and sign in.
- Tap Settings (gear icon).
- Tap Account.
- Tap Delete account.
- Re-enter your password to confirm it’s really you.
- Review the data inventory screen — PBSTrack will show how many participants, sessions, reports, and documents are about to be deleted.
- If you want a copy of your records, tap Export first. This is your responsibility under your professional record-retention obligations.
- Type
DELETEin the confirmation field and tap Delete my account. - You’ll receive a confirmation email with a one-tap Cancel deletion link, valid for 14 days.
Use this path if you’ve lost access to your device, can’t sign in, or have already uninstalled PBSTrack.
- Go to practicewise.com.au/contact/.
- Choose the subject “Account deletion request”.
- Include the email address registered to your PBSTrack account in the message body.
- Send the request.
- We will reply to that email address within 2 business days to verify your identity. Replying from the registered email is the verification step — we cannot process the request without it.
- Once verified, your account enters the same 14-day cancellation window. Hard deletion completes within 30 days of your original request, in line with our Privacy Policy commitment.
Account deletion is reversible for the first 14 days. Any of the following will cancel the deletion and restore full access:
- Tap the Cancel link in the confirmation email you received when you initiated deletion.
- Sign back in to PBSTrack with your existing email and password. The app will detect the pending deletion and offer a one-tap Cancel deletion option before continuing.
- Email us via practicewise.com.au/contact/ with the subject “Cancel account deletion”. We will verify the request from your registered email and cancel the deletion manually.
After the 14-day window expires, the deletion is permanent and cannot be reversed.
When deletion completes (day 14), the following is permanently removed from PracticeWise systems:
- Your account record — email, encrypted password, account UUID, consent record
- All participant clinical records synced to our cloud (Professional tier): participants, sessions, ABC episodes, MO data, FERB events, preset labels, session reports, generated documents, restrictive practice records, uploaded external reports, pseudonymisation map, and AI call audit log
- All authentication sessions and refresh tokens for your account
- Your subscription state held by RevenueCat (deleted via RevenueCat’s subject-erasure API)
- The APP 12 access audit log for those records, retained briefly for the 30-day investigation window in our Privacy Policy and then removed
No clinical or participant content is retained beyond the 30-day deletion window referenced in our Privacy Policy.
A small amount of data may be kept after deletion where we are legally required to do so or where it cannot be tied back to you:
- Crash reports sent to Firebase Crashlytics during the life of your account — retained per Google’s default retention (typically 90 days). These contain no clinical or participant data.
- Billing records held by Google Play Billing — retained by Google as required by Australian tax and consumer law. PracticeWise does not control this retention.
- De-identified, aggregated logs — for example, total API call counts — that cannot be used to re-identify you.
Data stored on your Android device is separate from the cloud copy. If you only want to clear local data, uninstalling the app removes all locally-stored PBSTrack data from your device.
Uninstalling alone does not delete your cloud account. If you want both local and cloud data removed, follow Method A or Method B above; the cloud deletion will remove the synced copy and a fresh install will not be able to recover the records.
On these tiers, your PBSTrack account is the sole owner of the participant records you have created. Deleting your account therefore deletes those records as well, after the 14-day cancellation window. There is no other practitioner who needs to approve the deletion.
If your records are shared with another clinician via export (PDF, CSV, Word document), those shared copies live outside PracticeWise systems and are unaffected by the deletion.
If you are a member of a PBSTrack Enterprise organisation, your account is provisioned and managed by your organisation’s administrator. The clinical records you contribute to are owned by the organisation, not by you individually.
In that case:
- To remove your individual user account, contact your organisation’s PBSTrack administrator. They can deprovision your access without affecting the organisation’s clinical records.
- To delete the entire organisation and all associated clinical records, the organisation owner must initiate the deletion via the PBSTrack Desktop Manager. This path requires additional safeguards (notification of all administrators, an extended cancellation window, and an explicit export confirmation) given the scope of the deletion.
If you are unsure whether your account is on an Enterprise organisation, open Settings → Account; the screen will show whether your account is individually owned or managed by an organisation.
- Day 0 — You initiate deletion (in-app or web). Account is soft-deleted, you are signed out, and the confirmation email is sent.
- Days 1–14 — Cancellation window. Any of the three cancellation paths in Section 3 will fully restore the account.
- Day 14 — Hard deletion runs. Your account record, all synced clinical records, and all authentication tokens are permanently removed. RevenueCat subject-erasure is triggered.
- Day 14–44 — The 30-day APP 12 audit-log investigation window from the Privacy Policy. After this, audit-log entries for the deleted records are removed.
Hard deletion happens within the 30-day commitment described in our Privacy Policy — Section 9; the 14-day window above is the cancellation period within that.
