From install to your first
clinical report.
Set up PBSTrack on your Android device, configure a client, run a baseline session, and export a stakeholder-ready report — in under an hour. No prior data, no account, no cloud sync required.
Before you begin
Three things to have ready. None of them are blocking — you can install PBSTrack and explore the demo client first if you’d rather see it in action before setting up your own.
PBSTrack’s six-stage clinical pipeline
Each client moves through six stages — three for collecting and analysing the data, three for writing it up. The Client Detail screen is your hub: each stage has a card showing its completion state, with the relevant actions surfaced directly on the card. You don’t need to learn a new mental model — this is just PBS practice, structured.
A six-step walkthrough
From installing the app to exporting your first report. Times are conservative averages. The Pro express path (covered in step 3) cuts new-client setup from 20–40 minutes to about 2–5 minutes if you have a recent clinical document to upload.

1Install PBSTrack from Google Play~5 minutes
Open the Play Store on your Android device, search for PBSTrack, and install. PBSTrack starts with a 14-day free trial of the Professional tier — no card, no account, no setup wizard.
On first launch, a welcome carousel previews the six-stage pipeline. Skip it if you’d like — you can replay any time from Settings → Tour Guide.
Tip: Try the demo client first. The pre-loaded Sam Mitchell case has session data, behaviours, FERBs, and reports already populated, so you can see the full workflow before you touch your own caseload. -
2Add your first client~5 minutes
Tap + New Client on the Client List screen. Enter the client’s name. On the Professional tier you’ll see a branching sheet asking how you want to set them up:
Start from documents (Pro fast-path) — upload one or more existing PDFs or DOCX files (FAI, IBSP, OT/speech report). The app processes each document with Claude Sonnet and pre-fills behaviours, A/C presets, FERBs, setting events, and diagnoses. Review and accept each suggestion. About 2–5 minutes.
Set up manually — define everything by hand. Use this if you’re building from scratch or your client doesn’t yet have prior documentation. About 20–40 minutes.
Pro tip: If you’re on Student or Essentials, the manual path is the only path — there’s no friction added, just the express path is hidden. You can upload documents later from Source Documents at any time. -
3Define behaviours of concern and their FERBs~10 minutes (manual) · ~2 minutes (review fast-path output)
For each behaviour of concern, define an operational definition and the Functionally Equivalent Replacement Behaviour (FERB) — the skill being taught to replace it. A client can carry a bank of multiple FERBs (a verbal request, a card exchange, a self-regulation pause) — activate one or more per session.
Each behaviour also gets antecedent and consequence presets. Every preset is pre-mapped to one of five behavioural functions — Escape, Social, Tangible, Sensory, Unknown — so your data builds a function hypothesis automatically as you record.
Why operational definitions matter: stored per-behaviour and shown live during sessions, then automatically embedded in every exported report. Consistency of measurement is treated as a first-class clinical concern. -
4Run a baseline session~15–20 minutes
From the Client Detail screen, tap Start Session. Choose Frequency or ABC Episodes mode. Before recording begins, complete the pre-session MO check — sleep, hunger, pain, and medication state. Each is rated Concern / OK / Not Assessed.
During the session: tap a behaviour tile to record an event, tap or press-and-hold a FERB tile to record a replacement-skill use (the press-and-hold captures duration). Add antecedent, consequence, and intensity per event. Mark phase changes when the intervention strategy shifts. Add session notes for any context that doesn’t fit a structured field.
FERB tap vs. tap-and-hold: a quick tap records one count event with default duration of 0. A press-and-hold captures duration as long as the finger is held — so brief discrete prompts and longer extended use are both captured without switching modes mid-session. -
5Generate your first report~5 minutes
When you end the session, the Session Report appears immediately — bar chart, rate table, intensity breakdown, event timeline, and a one-tap Progress Note generator that produces a formatted plain-text note ready to copy into your practice management system.
From the Reports Hub, you can also open the ABC Function Analysis (your function hypothesis from the consequence pattern), the FERB Report (per-FERB count, duration, ratio against the behaviour of concern), or any of the 12+ report types. Each one shows a different angle on the same data.

6Export a stakeholder-ready Word document~5 minutes
Open Document Builder from the Client Detail screen. Pick a template — CBSP Evidence Package, Progress & Review, Implementation Monitoring Brief, or BSP Clinical Insights. Charts render to PNG and are embedded in the document. Practitioner name and organisation are persisted between exports.
On the Professional tier, the Document Builder can additionally synthesise processed recording transcripts (from your stakeholder interviews) and source documents (your uploaded prior reports) into a clinical narrative — generated by Claude Sonnet using a customisable template library.
Time saved at this step alone: a multi-session BSP evidence package that typically takes 2–4 hours to produce manually exports in approximately 15 minutes. For a BSP producing monthly or quarterly reports, that’s two to three hours per report cycle reclaimed.
