What is PBSTrack? +

PBSTrack is a clinical data collection and behaviour analytics app for Android, built specifically for NDIS Behaviour Support Practitioners and ABA clinicians. It records ABC (Antecedent–Behaviour–Consequence) data in real time, tracks FERB (Functionally Equivalent Replacement Behaviour) outcomes, and generates 10+ clinical reports — all stored locally on your device with no internet connection required.

It sits above basic tally-counter apps and below enterprise platforms, delivering clinical-grade analytics at a solo-practitioner price point.

Is PBSTrack available on iPhone / iOS? +

PBSTrack is built for Android — iOS is under evaluation. When an iOS release date is confirmed it will be announced via the PracticeWise newsletter and website.

Do I need an internet connection to use the app? +

No. PBSTrack is fully offline. You can record sessions, generate reports, and write progress notes without any internet connection. The only steps that require internet access are downloading the app from Google Play and processing in-app subscription billing.

How many clients and behaviours can I track? +

There is no hard limit on the number of clients. You can create as many client profiles as you need. Each session supports up to 5 behaviours of concern simultaneously (best-practice recommendation is 3 — the app uses a compact button layout when 4–5 are selected). The FERB is tracked as a separate data stream alongside the behaviours of concern.

How does PBSTrack compare to enterprise platforms like Catalyst or CentralReach? +

PBSTrack is designed for individual BSPs and small clinical teams — not organisations. Enterprise platforms offer team access, cloud sync, billing, and scheduling workflows at $100–500+/month per user. PBSTrack delivers comparable clinical analytics depth at a fraction of the cost, with no data sovereignty tradeoff.

It is not a replacement for a practice management system — it is a complement to one. PBSTrack handles session data collection and clinical reporting. Your practice management system handles billing, scheduling, and NDIS claiming.

Your data, your device
Where is my client data stored? +

All data is stored exclusively on your device in a local SQLite database. PBSTrack has no server, no cloud backend, and no internet permission. Your clients’ behavioural data never leaves your device unless you explicitly export it using Android’s share function (email, Google Drive, etc.).

Does PBSTrack comply with the NDIS Privacy Rule? +

Yes. Because all data is stored locally on the device and is never transmitted to any third-party server, PBSTrack’s data architecture is fully consistent with the NDIS Privacy Rule and the Australian Privacy Act 1988. There is no third-party data processing agreement required because no third-party ever receives the data.

What happens to my data if I cancel my subscription? +

Your data remains on your device after cancellation. PBSTrack moves to a read-only mode for existing records — you can view past sessions and reports but cannot create new sessions. Your data is never deleted by PracticeWise because PracticeWise never holds it.

What permissions does PBSTrack request? +

PBSTrack requests only the permissions necessary for its clinical functions:

Microphone — for in-session audio recording (optional, only when actively recording).
Storage / Media — to export reports, audio files, and Word documents to your device.
Billing — for Google Play in-app subscription management.

PBSTrack does not request: location, contacts, camera, phone, or network access beyond billing. The full permissions list is in the Privacy Policy.

How does the 14-day free trial work? +

Download PBSTrack from Google Play and you get full access to every feature for 14 days — no credit card required. At the end of the trial period you can subscribe: Student is free (up to 3 clients), Essentials is $99/month or $990/year, Professional is $199/month or $1,990/year. If you do not subscribe, the app moves to read-only mode for existing data.

Can I cancel my subscription at any time? +

Yes. PBSTrack uses Google Play in-app billing, which means you manage your subscription directly through your Google Play account settings. You can cancel at any time. Access continues until the end of the current billing period. There are no contracts, no cancellation fees, and your locally-stored data remains on your device after cancellation.

What is the Student tier? Who qualifies? +

The Student tier is free — no subscription required. It is for university students enrolled in ABA, PBS, behaviour support, or special education programs. The Student tier provides full clinical analytics (FERB, MO framework, function analysis, 10+ reports) with a 3-client limit. Word/PDF export and audio recording are not included. When you graduate and begin clinical practice, upgrading to Essentials unlocks unlimited clients and full documentation output.

Is pricing in Australian dollars? +

Yes. All prices listed on this website are in Australian dollars (AUD). Google Play billing applies your local currency at checkout.

Is PBSTrack aligned with the NDIS Behaviour Support Rules 2018? +

Yes. PBSTrack was designed specifically for the Australian NDIS context. Its clinical framework — FERB outcome tracking, function-based hypothesis generation, least restrictive practice evidence, and phase change impact analysis — maps directly to the evidence obligations in the Behaviour Support Rules 2018. Its data architecture (device-local, no third-party processing) aligns with the NDIS Privacy Rule.

What is FERB tracking and why does it matter? +

FERB stands for Functionally Equivalent Replacement Behaviour — the replacement behaviour taught as part of a Positive Behaviour Support plan. PBSTrack tracks the FERB as a first-class data stream alongside the behaviour of concern, recording a FERB ratio (FERB events as a proportion of total response class events) per session.

Under NDIS, demonstrating that a replacement behaviour is increasing as a behaviour of concern decreases is what justifies ongoing funded support. The FERB ratio trending upward over sessions is direct evidence of intervention effectiveness. PBSTrack is the only Tier 2 behaviour data app that tracks FERB in this way.

What is the Motivating Operations (MO) Framework in PBSTrack? +

Before each session, PBSTrack prompts a pre-session Motivating Operations check — recording the participant’s physiological state across sleep, hunger, pain, and medication. Setting events during the session can be classified as Establishing Operations (EO) or Abolishing Operations (AO).

The MO Flow Report then correlates pre-session states with session outcomes (behaviour rate and intensity), identifying which physiological or environmental conditions reliably predict elevated incidents. This turns clinical intuition into quantifiable evidence — useful for proactive planning, family education, and NDIS reporting.

Does PBSTrack include standardised assessment tools (FAST, MAS, QABF)? +

Not within the app itself. PBSTrack focuses on direct observation data (ABC recording). Indirect assessment instruments (FAST, MAS, QABF) are available as separate PracticeWise Excel tools — see the Resources section. Integration of indirect assessment tools into PBSTrack is on the development roadmap.

What are the PracticeWise digital tools? +

PracticeWise publishes PBSTrack and a range of Excel-based clinical tools for BSPs:

QABF Scorer — automated Excel scorer for the Questions About Behavioural Function (Matson & Vollmer, 1995). Calculates subscale scores and generates a summary chart. $5 AUD.

How do the Excel tools relate to PBSTrack? +

The QABF and MAS Scorers are indirect functional assessment instruments — they help establish a function hypothesis before direct observation begins. PBSTrack then collects the direct ABC data that confirms or refines that hypothesis in real sessions. Together they cover the full indirect-to-direct FBA pipeline for NDIS-compliant behaviour support documentation.

What format are the digital tools in? Can I use them on Mac? +

The QABF Scorer, MAS Scorer, and Sensory Checklist Tracker are Microsoft Excel (.xlsx) files. They work on Windows Excel 2016 and later, and on Mac Excel 2019 and later. They use standard Excel formulas and charts — no macros or VBA. The ABA Intervention Manual is a Word (.docx) document compatible with Microsoft Word and Google Docs.
